Prepare your business for AI call handling.

Before an AI receptionist answers real calls, prepare the information and rules it will use. Clear inputs make the conversation more useful and reduce the chance of a caller receiving an incomplete or misleading answer.

Write down the questions callers repeat.

Start with the routine questions your team already answers every day. These often include opening hours, location, services and appointment preparation.

Write concise approved answers and separate questions that can be answered consistently from those that require a member of staff.

  • Opening hours and holiday closures.
  • Services offered.
  • Appointment preparation.
  • Location and service area information.
  • Questions that should always go to your team.

Define your appointment policies.

Write down the rules the receptionist needs before it can help a caller manage an appointment.

That includes service durations, staff availability, booking notice and any rules for changes or cancellations.

Decide how the caller's authority to alter an existing booking should be checked and identify requests that need manual approval.

Booking, rescheduling and cancellation are separate actions.

A system that can show calendar availability may not have permission to create, change or cancel an appointment. Each action needs to be confirmed and tested separately.

Review the connected systems.

Confirm where appointment availability is stored and what the connection can actually do.

Check whether the workflow can:

  • Read suitable appointment availability.
  • Create a new appointment.
  • Identify an existing booking.
  • Reschedule an appointment.
  • Cancel an appointment.

Do not assume that every calendar or sector-specific booking platform supports every action.

Choose the fallback.

Decide what should happen when the receptionist cannot complete the caller's request.

Agree the transfer destination, staff hours and message or callback process. Also decide what the receptionist should say when an answer is unavailable, a suitable appointment disappears or the calendar cannot be reached.

These decisions should be part of the setup rather than left for the system to improvise.

Test the difficult calls too.

Testing should not only cover a perfect caller making a simple booking.

Include scenarios such as:

  • A caller changes their request halfway through the conversation.
  • Speech is unclear or there is background noise.
  • No suitable appointment is available.
  • The caller asks an unsupported question.
  • The booking system cannot be reached.

Check that successful actions appear correctly in the connected system and that failures are not described as completed bookings.

Use test information rather than real customer data while validating the workflow.

Keep the information current.

Assign responsibility for updating opening hours, holiday closures, services and appointment policies.

Review the call information and reports available in your selected package and correct recurring misunderstandings when they appear.

Preparation makes the conversation more useful.

AI call handling works best when your business has clearly defined what can be answered, what can be changed and when a person needs to take over.

Those decisions are just as important as the voice technology itself.
